| Description: | Greets, instructs, directs and schedules patients and visitors. Makes and schedules patient appointments in an efficient and timely manner. Serves as a liaison between patient and medical support staff. |
| Duties: | JOB RESPONSIBILITIES SPECIALTY SCHEDULER: (This list may not include all of the duties assigned)
1. Answers telephone and greets patients and visitors in a prompt, courteous and helpful manner.
2. Prior to patient arrival, calls and communicates to patient any physical preparation required for specific appointment.
3. Prior to patient arrival communicates to patient any requirements for medications, injections.
4. Communicates to patient information about specific medical procedure(s) to prepare them for the appointment.
5. Checks in patients, verifies and updates necessary information in the medical record.
6. Oversees waiting area, coordinates patient movement, and assists patients with ambulatory difficulties and reports problems or irregularities to supervisor.
7. Receives payments from patients and issues receipts.
8. Reconciles daily cash as requested.
9. Prepare patients charts and fee slips for scheduled patient appointments.
10. Books, coordinates and reschedules patient’s appointments. Relays necessary messages to staff.
11. Schedules laboratory testing and outpatient procedures and answers patient questions regarding their appointments and testing.
12. Attends meetings as required.
13. Maintains strictest confidentiality.
14. Ongoing Customer Service Training.
15. Performs other duties as assigned.
JOB RESPONSIBILITIES MEDICAL RECORDS TECHNICIAN: (This may not include all of the duties assigned)
1. Reviews individual documents to be scanned into IC Chart matrix.
2. Sorts and organizes paperwork into types for scanning; must be able to identify that the proper patient demographics are available on sheets to be scanned. Uses IBM AS400 and Vital Works software for patient demographics in order to ensure exact patient has been identified.
3. Uses knowledge of medical terminology, medical charting, and hard copy patient record to identify type of document and appropriate category for indexing.
4. Sorts documents that have been set aside for scanning, and determine those which should be scanned and those that are already in IC Chart and therefore do not need scanning, following matrix set for indexing of documents to send to indexer.
5. Sorts by single page, duplex page, reverse duplex page.
6. Puts stacks in order for scanning so that indexers are able work through the files logically.
7. Verifies logical placement of records with same patient name (as in, those with multiple pages) and legibility of each document once scanned.
8. Uses IC Chart to send scanned information to indexer.
9. Assists clinic staff with questions regarding scanned documents.
10. Troubleshoots problems with scanned records placement, along with help from IS Department and clinic staff.
11. Answers incoming calls when needed.
12. Knowledge of electronic medical records and IC Chart.
13. Maintains strictest confidentiality.
14. Performs other duties as assigned.

| Qualifications: | 1. Knowledge of medical office procedures.
2. Knowledge of medical specialty.
3. Knowledge of grammar, spelling and punctuation to type patient information.
4. Skill in operating a photocopy machine.
5. Skill in answering the telephone in a pleasant and helpful manner.
6. Ability to speak clearly and concisely.
7. Ability to read, understand and follow oral and written instruction.
8. Ability to establish and maintain effective working relationships with patients, medical staff, employees and the public.
Education: Equivalent of a high school diploma.
Experience: 1 year managing electronic medical records in a medical office setting preferred. Word processing and/or computer experience, general clerical experience, and medical terminology preferred. Previous experience/knowledge of imaging scheduling a plus.
