Description:The purpose of the Administration Administrative Assistant is to provide support for CFO and COO. Assist Administration Office Manager with daily activities and perform a variety of clerical duties as well as serving as receptionist for Administration Department.
Duties:(This list may not include all of the duties assigned)
1. Provide support for CFO and COO relative to assigned areas of responsibilities.
2. Type correspondence for various management staff and OMG board members.
3. Monitor Oregon Medical Group website.
4. Compose correspondence and disseminate to appropriate individuals.
5. Arrange appointments and meetings; contact persons invited to attend.
6. Prepare various documents as requested.
7. Support CFO with completion and tracking of CER’s.
8. Answer multi-line telephone and screen calls for the department.
9. Monitor schedule of committee meetings and send timely notices and minutes.
10. Transcribe meeting minutes and correspondence and maintain complete files of meeting minutes.
11. Maintain directories and lists to facilitate communication.
12. Make travel arrangements.
13. Monitor office supplies and orders as necessary.
14. Order catering for meetings and events. Confirm reservations.
15. Open, sort, and distribute mail.
16. Maintain strictest confidentiality.
17. Provide back-up support for Administration Manager.
18. Perform other duties as assigned.
Qualifications:REQUIRED QUALIFICATIONS:
1. Knowledge of personnel practices.
2. Knowledge of office practices and methods.
3. Knowledge of computer systems and applications.
4. Knowledge of grammar, spelling and punctuation.
5. Skill in taking and transcribing dictation and in the operation of office equipment.
6. Ability to establish and maintain effective working relationship with other employees and the public.
7. Ability to communicate and present information. Ability to establish priorities and coordinate work activities. Ability to identify problems and recommend solutions.


Education/Experience:

Education: High school graduation or GED. Associate or Bachelors degree preferred.

Experience: Three years of clerical/administrative experience in an office setting with at least two years of executive-level support. Ability to type 50 wpm. Word processing and computer experience.
